Welcome to the House Hunt family!
We understand moving in to your new home can be really stressful and quite daunting but feel rest assured we at House Hunt are always here to help to ensure your move in process is carried out with minimum stress.
Please see below a breakdown of important information relating to this process.
Keys & Initial Rental Installment
The key handing-out process is carried out strictly via an appointment based system.
The collection times fall between 2PM and 4PM on the 1st day of your tenancy.
We advise you to contact the House Hunt's move-in team a minimum of three weeks prior to the start of your tenancy. If an appointment is not booked, the House Hunt move-in team will contact you with a subsequent date and time of the next available slot.
Should you wish to collect keys on a different date - please ensure three weeks minimum notice is to provided.
Please Note:
- If you are living in a shared household property, tenants must nominate a lead tenant who will be in charge of collecting all keys for the property. Keys will not be released on a room by room basis.
- If you are living in a single household property, you will be responsible of collecting your own keys.
If you would like to appoint a friend of family member to collect all keys for the property on behalf of the lead tenant, we will require an email from the lead tenant stipulating who the nominee will be (Name, Contact Number and Contact Email). The nominee will be required to bring an original copy of their passport or drivers license upon key collection.

An agent from House Hunt will then be in touch to confirm the exact slot depending on availability by email, the timings are on a first come first serve basis so it is essential you are booked in for your key collection. Charges may apply if tenant does not turn up to appointment.

PLEASE NOTE:
Keys will only be released once the first rental instalment as stipulated in your AST agreement is paid in full.
All key bookings are provisional until the below conditions are met:
- First rental instalment must be paid 10 days before the start of tenancy.
- Rental payments are strictly to be paid via bank transfer only.
A standing order must be set up for the entire tenancy period. Your designated property manager will be in touch with you directly to advise you with the respective bank details and payment references.
Moving In
Once the keys have been collected we recommend the lead tenant should inspect the property (ideally with the other tenants) within 20 days of the tenancy commencing to eliminate any problems which may occur, if there are any cleaning and maintenance issues this must be brought to attention within the first 7 days into the start of tenancy. Any maintenance works negotiated at the time of contract signing or any major issues picked up during the tenants inspection will be carried out and completed within 8 weeks of the tenancy start date. There will be no compensation offered whilst these works are being carried out. No cleaning services will be provided after 10 days into the contract if there are any issues which have not been brought forward to Agent/Landlord.

If there are any areas you would like to raise to House Hunt (please read the below carefully) -
- Do not sent individual emails with your concerns we require only one point of contact (this must be the nominated lead tenant), this will ensure that your dedicated property manager can target all points and provide sufficient solutions in a timely manner.
- We will require one nominated tenant to report any maintenance issues through our online maintenance portal by clicking here. Further information regarding the maintenance policy can be found by clicking here
- Do not ring the office line regarding any queries as this will delay the process as our maintenance team is strictly working via the online maintenance portal
- The moving in period which generally falls in July and September is the busiest time of year so it is essential that tenants do co-operate and follow the protocols stipulated above.

Inventory
The inventory will be conducted by a designated inventory clerk within 35 days from when the keys have been collected, the documentation will be produced and provided to tenants electronically to look over and sign and return. It is imperative you read this document in it is entirety and ensure you are happy with what is stipulated. The document must then be signed and dated and returned back to House Hunt via the online platform. All details regarding the inventory policy and protocol can be found here. Gas/Electricity Providers
Please contact the energy providers and inform them of your tenancy start and end date, you must also provide meter readings from the first date of your tenancy. Gas and electricity accounts must be in the names of all tenant(s). To check who your current energy provider is please contact the numbers provided below.

Water
Please contact your water provider and ensure all tenants are named on the new account and if a water meter is present at the property please supply meter readings from the first date of tenancy.

Internet
Please contact your Internet provider and ensure all tenants are named on the new account. To find out the current internet provider, please (click here). We at House Hunt work very closely with Virgin Media you may qualify for discounts as a House Hunt tenant if you select one of their services. TV Licensing
Please contact TV licensing and ensure all tenants are named on the new account.

Council Tax
Please contact Birmingham City Council and inform them of the start and end date of your tenancy. If you are full time students you must ensure you provide Birmingham City Council the following:

- Copy of your signed tenancy agreement
- Copy of your student identification card
- Student exemption certificate – this can be obtained from "Aston Web Student Hub" located in the Aston Web Building (R7 on the campus map).
- If you can not physically visit the "Aston Web Student Hub" you can obtain this letter from the UOB online shop or alternatively you can email This email address is being protected from spambots. You need JavaScript enabled to view it. with the following template and they will provide your the student exemption certificate.
Dear Sir/Madam,
I am emailing to request a student exemption certificate for council tax which showcases my current rental property,

Once the above is completed you must (click here) and complete the online form required by Birmingham City Council.

Renewal
We at House Hunt are always happy to renew tenancies. To ensure your renewal is carried out efficiently we must be made aware via email This email address is being protected from spambots. You need JavaScript enabled to view it. on or before 1st October.
Should your group change numbers we can switch you over to another one of our deluxe student pads (you may be eligible for loyalty discounts)
You will be assigned a dedicated tenancy renewal consultant who will advise you through the process and undertake all relevant protocols.
Maintenance and Repairs

Cleaning
We at House Hunt believe in honesty and transparency so we will like to emphasize and ensure all our tenants are aware of their responsibilities in regards to the cleaning and the general up keep of their new home. Our end of tenancy cleaning booklet is an easy guide with loads of suggestions and directions on how to maintain the cleaning of the property as well as the level of cleaning required when returning the property at the end of your tenancy.
